Task email reminders explained

This articles outlines all email reminders sent from Wired Relations to task assignee and task responsible

It's possible to turn off all task related email reminders. This is sometimes done in preparation of initially creating a large amount of recurring tasks to spare the assignees a lot of emails.
If you want your the email reminders temporary disables then reach out to your Customer Success Manager.

Email reminders?

Wired Relations will send automatically send email reminders to users assigned as task assignee or task responsible on a given task.

These emails will contain the task names, due dates, and a direct links to the tasks in Wired Relations

How many reminders are sent?

Reminders will only be sent for open tasks. Meaning if you complete a task early, then you naturally won't receive any subsequent reminders.

How many reminders are sent also depends on whether the user is assigned as assignee or responsible for the task.

Reminders for assignees

Given that a task remains open the following emails are sent:

  • You've been assigned a new task
  • You’ve got a task that’s due in 14 days
  • You have a task due today
  • You have a task that was due yesterday
  • New comment added to a task
  • 🔄 Your overdue tasks for this week (repeats every week)

Naturally these emails are grouped so that one email may list multiple tasks.

Reminders for responsible

Given that a task remains open the following emails are sent:

  • A task was due yesterday
  • New comment added to a task
  • Task has been completed
  • 🔄(amount of tasks) overdue tasks for this week (repeats every week)

 

Assignee or Responsible?

When should a user be assignee for a task and when should they be responsible?

The assignee is the user expected to complete the task, while the responsible is more generally responsible for the task. Therefore the assignee receives the bulk of the reminders, whereas the responsible will only be reminded/notified if a task becomes overdue.
